Job Description:

Receives, screens, and refers telephone calls and office visitors and offenders as appropriate. Ensures callers are not misinformed or misdirected. Conducts all transactions with visitors and offenders in a courteous and professional manner. Responds to routine requests for information from the public, DOC Central Office, the courts, and law enforcement agencies. Processes and distributes all incoming and outgoing mail and faxes.

Processes requests for repairs of office equipment, maintains inventories, oversees mail processing, and arrangement for equipment installation. Orders and maintains adequate office supplies for the Kansas City Parole Office. Analyzes office practices and procedures and implements routine modifications. Become trained in the SMART system to be used in the processing of requisitions.

Records and processes warrants for the Kansas City Parole Office.

Responsible for overseeing that master files are maintained, keeping a log of files transferred throughout the state and files sent to the repository from the Kansas City Parole Office. Responsible for preparing closed/maxed offender files for imaging for the Kansas City Parole Offices.

Process voucher requests inputting them into the SMART system. Other projects and tasks as assigned.

Minimum Requirements:  Six months of experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.
 
Preferred Criteria:  Ability to maintain confidentiality. Must pass extensive background investigation with no previous felony or misdemeanor convictions- regardless of length of time since conviction. High school diploma or GED. Typing speed of 40 WPM, skill and aptitude with a 10 key calculator. Working knowledge of various computer database applications.  
 
Performance Standards:  This position will function under the direction of the Kansas City Parole Supervisor. This position is essential to the efficiency of the Kansas City Parole Office and the Northern Parole Region in order to maintain compliance as stated in the IMPP’s and the regulations of the Secretary of Corrections. It is imperative the incumbent have the ability to meet and deal effectively with parolees, the general public, and the parole officers. It is important the incumbent have the ability to work independently and with minimal supervision.
